This is a working policy for internal use of the Northern Tanzania Union Conference (NTUC) Office
Management System. It describes how the system is intended to be used, not a substitute for your
organization's employment contract, church policy, or applicable law. Union leadership should review
and formally adopt this document before relying on it as binding policy.
1. Who this applies to
These Terms apply to every person issued a login account for SDA-OMaS — Officers, Administrators,
HR and Treasury staff, Supervisors, Secretaries, and any other employee or volunteer of NTUC or
its Conferences, Fields, Institutions, and Districts who accesses the system.
2. What the system is for
SDA-OMaS is an internal administrative tool used to manage, among other things:
- Employee records, service history, education, promotions, and retirement processing
- Payroll, salary slips, and leave requests
- Budgets, accounts, fund requests, procurement, and bank reconciliation
- Job assignments, performance management, and attendance
- Secretariat statistical reporting across Union, Conference/Field, and District levels
- Internal messages and system notifications (dashboard, email, SMS, and WhatsApp)
Access to each of these areas is scoped to your role and your entity, as configured by your Administrator.
3. Account responsibilities
- Keep your password confidential and do not share your login with anyone else.
- You are responsible for actions taken under your account.
- Report a lost, stolen, or compromised password to your system administrator immediately.
- Use the data you can access only for legitimate NTUC administrative purposes.
4. Acceptable use
You agree not to:
- Access, copy, or share records outside your assigned role or entity scope
- Upload unlawful, defamatory, or unrelated content through messages, documents, or profile photos
- Attempt to bypass access controls, or interfere with the system's normal operation
- Use the system to harass, discriminate against, or misrepresent any colleague or entity
5. Availability
The system is provided on an "as available" basis. Scheduled maintenance, upgrades, or unforeseen
technical issues may occasionally interrupt access. Critical time-sensitive submissions (such as
statistical reporting deadlines) should not depend solely on last-minute system availability.
6. Changes to these Terms
NTUC Administration may update these Terms as the system evolves. Material changes will be
communicated through the system's notification channels where practical.
